1. Who We Are
HarvestTrack ("we", "our", or "us") operates the HarvestTrack web application and website at harvesttrack.ca. We are committed to protecting the personal information of our users in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. HarvestTrack is operated from Canada; if you access the app from outside Canada, we also handle your information in line with the applicable privacy laws of your jurisdiction.

2. Information We Collect
We collect information you provide directly when you use HarvestTrack:
- Account information: name, email address, and password (or your Google or Apple account identity if you sign in with Google or Apple).
- Farm and operation data: farm names, block names, crop types, harvest entries, yield figures, cull records, spray records, equipment and maintenance records, and payroll data you enter into the app.
- Farm location: if you choose to set a farm's location — by using your device's approximate (coarse) location, searching for a town, or entering an address — we store that location with the farm so the app can show local weather and auto-fill weather conditions on spray records. Location is captured only when you tap the location button; the app does not track your device's location in the background.
- Employee data: names and email addresses of workers you add to your team.
- Device and notification data: if you enable notifications, we store a device push token (via Google Firebase Cloud Messaging) so we can send you app notifications — for example, when an entry is added for you or a payment is recorded.
- Website usage data: when you visit our website (harvesttrack.ca), we collect anonymous analytics such as pages visited, time on page, and approximate region via Google Analytics (see Section 8). The HarvestTrack app itself does not track your in-app activity for analytics.
- Feedback submissions: any information you submit through our feedback form, including name, email, and message content.
3. How We Use Your Information
We use your information to:
- Provide, operate, and maintain the HarvestTrack application.
- Allow you to manage your farm, team, harvest records, and payroll within the app.
- Show weather conditions and forecasts for your farm's stored location and auto-fill weather on spray records (weather data is retrieved from Environment and Climate Change Canada using the farm's coordinates).
- Send transactional communications such as account verification and password resets.
- Send push notifications about activity relevant to you, such as new entries, correction requests, and payments.
- Respond to feedback, support requests, or inquiries you send us.
- Improve and develop the product based on usage patterns and user feedback.
- Comply with applicable legal obligations.
We do not sell your personal information to third parties. We do not use your farm or harvest data for advertising purposes.
4. Data Storage and Security
Your data is stored using Google Firebase (Firestore), a cloud platform operated by Google LLC. Data may be stored on servers located in the United States or other jurisdictions outside Canada. By using HarvestTrack, you consent to this cross-border transfer of your information.
We take reasonable technical and organizational measures to protect your data against unauthorized access, loss, or disclosure. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
5. Data Retention
We retain your account and farm data for as long as your account remains active or as needed to provide the service. If you request account deletion, we will delete your personal information within a reasonable timeframe, except where we are required to retain it by law. You can request deletion any time on our Delete Account page.
6. Sharing Your Information
We do not share your personal information with third parties except in the following circumstances:
- Service providers: We use Google Firebase for authentication, database storage (Firestore), and push notifications (Cloud Messaging); Google Analytics for anonymous website usage analytics; and Resend to deliver team invitations and transactional emails. These providers process data on our behalf and are bound by their own privacy policies.
- Legal requirements: We may disclose information if required by law, court order, or government authority.
- Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
7. Your Rights
You have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion of your account and associated personal data.
- Withdraw consent to our use of your personal information (subject to legal and contractual limitations).

8. Cookies and Analytics
HarvestTrack uses Google Analytics to collect anonymous information about how visitors use our website. This may involve the use of cookies. The data collected includes pages visited, time spent, and general geographic location (country/region level). This information is aggregated and does not identify you personally.
You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
9. Beta Service Notice
HarvestTrack is currently in beta. Features and data handling practices may change as the product evolves. We will notify users of any material changes to this Privacy Policy by updating this page and, where appropriate, by email.
10. Children's Privacy
HarvestTrack is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
